1. Data We Collect
We collect and process "Photographic Data," which includes still images and video footage captured during the Greatest Show Charity Ball 2026. These images may include your identifiable likeness. If you purchase images or downloads, we also collect "Transaction Data," such as your name and email address, to fulfil your order.

2. Lawful Basis for Processing

• Legitimate Interests: We rely on "Legitimate Interests" to capture general event photography for documenting and promoting the charity’s activities.

• Contractual Necessity: For guests who purchase unwatermarked images, we process your data to fulfil the sales contract.

• Consent: We seek explicit consent for close-up, posed photography or for the use of images featuring children and vulnerable adults.

3. Online Gallery & Watermarked Downloads

• Public/Private Access: Images are hosted in a [Public/Password-Protected] online gallery for viewing and limited social media sharing via watermarked downloads.

• Data Security: All digital files are stored on secure servers with appropriate access controls.

• Third-Party Sharing: We do not share your personal data with third parties for marketing purposes. However, images may be shared with Sophie's Legacy for their promotional use as per our licensing agreement.

4. Your Rights
In accordance with data protection laws, you have the following rights regarding your image:

• Right to Object: You may request the removal of any identifiable image of yourself from the online gallery or future promotional materials.

• Right of Access: You can request a copy of the personal data (including images) we hold about you.

• Right to Erasure: You can request that we delete your photographic data, subject to certain legal or contractual retention requirements.

5. Retention Period
We retain event images for a period of [e.g., 2–7 years] for archival and backup purposes for the Client, after which they are securely deleted.
